Privacy Notice
GDPR
J motion is committed to being GDPR compliant. The General Data Protection Regulation legislation replaced previous data privacy law on 25 May 2018, giving more rights to you as an individual and more obligations to organisations holding your personal data.
One of the rights is a right to be informed, which means we have to give you information about the way in which we use, share and store your personal information.
J motion’s Privacy Notice enables you to access this information, along with information about the increased rights you have in relation to the information we hold on you and the legal basis on which we are using it.
The control and protection of our clients’ data and the data of our prospective clients is extremely important to us. We will always strive to minimise the amount of data that we hold and the length of time we keep it.
Your data will never be shared beyond the specific requirements of us being able to deal with your enquiry and work with you.
WEBSITE VISITOR DATA
When someone visits our website, we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site.
This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.
You can read more about how we use cookies on our
cookies page.
ENQUIRY DATA
When a prospective client submits an enquiry from our website or calls us, we only collect the essential businesses contact data we need to deal with that enquiry; name, phone numbers, email address, name of business, business location, information about the proposed project etc.
The lawful basis for processing this information is known as legitimate interest – we can’t respond to your enquiry without it.
We keep your original enquiry and any subsequent exchange of emails on our system for one year from the date of our last contact with you.
This is based on our experience of the occasionally slow gestation period for an enquiry to lead to a commissioned project. After a year, we usually find a client’s original brief will have changed.
CLIENT DATA
When a prospect becomes a client, we will use whatever business contact data they have supplied about themselves or their colleagues – name, phone numbers, email address, name of business, business location etc. – to manage their project.
The lawful basis for processing this information is known as contractual relationship – we can’t do business without it.
We keep your original enquiry and any subsequent exchange of emails on our system for three years from the date of our last contact with you.
A key reason for this is because clients often return to us for further projects or revisions to their original project to keep their content up to date.
PROJECT DATA
All footage and other audiovisual resources captured and created as part of a project, together with any essential paperwork – digital or physical – is also kept by us for three years from the date of our last contact with you.
The lawful basis for processing this information is known as contractual relationship – we can’t do business without it.
A key reason for this is because clients often return to us for further projects or revisions to their original project to keep their content up to date. At the end of 3 years, we will contact you to seek your instructions on continued storage of your project assets or deletion.
YOUR RIGHTS
Under the terms of GDPR, you have the right to;
- have access to the data we hold about you
- request corrections to the data we hold about you
- request erasure of the data we hold about you
- withdraw your consent for us to use or hold your data
